How to Calculate a Freight Rate

1

Enter what the load pays

Type in the total the load pays you, including the linehaul rate and any fuel surcharge offered by the broker or shipper.

2

Add loaded and deadhead miles

Enter the miles you run with the freight, plus the empty deadhead miles to reach the pickup. Both count toward your real cost.

3

Enter your cost per mile

Add your all-in operating cost per mile. If you do not know it, work it out first with our Cost Per Mile Calculator.

4

Read your rate and profit

See the rate per mile, total cost, and profit on the load. Book it if the numbers work, then copy the result into your records.

Who Uses This Tool

Owner-Operators

Decide yes or no on a load in seconds, before you call the broker back, so you only haul freight that actually makes money.

Dispatchers & Brokers

Check a lane's margin fast when a load board posting comes in, so you can negotiate rates that work for your drivers.

Small Fleet Owners

Compare load profitability across trucks and lanes to see which freight is worth running and which is quietly losing money.

Frequently Asked Questions

How do you calculate freight rate per mile?
Divide what the load pays by the total miles you will run, including both loaded and deadhead miles. The result is your rate per total mile — the honest number that reflects what the load actually earns you per mile of driving.
What's the difference between rate per total mile and rate per loaded mile?
Rate per loaded mile divides the pay by only the miles spent hauling the freight, which is how brokers usually quote a rate. Rate per total mile also counts the empty deadhead miles you drive to reach the pickup, so it shows your true earnings per mile on the road.
Should I include deadhead miles in the calculation?
Yes. Your truck burns fuel and wears out tires even when running empty to the pickup, so deadhead miles are a real cost. Including them gives you an accurate rate per mile and a realistic profit figure for the load.
What cost per mile should I enter?
Enter your all-in operating cost per mile — fuel, maintenance, tires, truck payment, insurance, permits, and any driver pay, divided by your monthly miles. If you do not already know yours, work it out first with our Cost Per Mile Calculator, then enter it here.
How do I know if a load is profitable?
If the profit shown is positive, the load pays more than it costs you to run. The bigger the gap between the load's rate per mile and your cost per mile, the better the margin. A load near or below your cost per mile is one to renegotiate or pass on.
What is a good profit margin on a load?
There is no single right answer — it depends on your costs, your market, and how badly you need the lane. The point of this calculator is to make the margin visible so you can compare loads on the same basis and avoid hauling freight at a loss.
Can I use this to negotiate with a broker?
Yes. Knowing your cost per mile and the rate a load needs to clear gives you a firm floor to negotiate from. If the posted rate falls below your break-even, you have the numbers to ask for more or walk away with confidence.
Is this calculator free and is my data saved?
Yes, the calculator is completely free with no signup required. Your inputs are saved locally in your browser so they persist between visits — nothing is uploaded to a server. Clearing your browser data will erase your saved values.
