Line Item

An individual entry on an invoice describing a specific product, service, quantity, and price.

What is a line item?

A line item is a single row on an invoice, estimate, or quote that describes one specific charge. Each line item typically includes a description of what was provided, the quantity, the unit price, and the total for that item. Together, all the line items add up to the invoice total.

For example, a plumber's invoice might have separate line items for the service call, labor hours, and replacement parts.

What to include in a line item

A clear line item typically contains:

  • Description — What the product or service is
  • Quantity — How many units or hours
  • Unit price — Cost per unit or hourly rate
  • Line total — Quantity multiplied by unit price
  • Tax (optional) — If tax applies to that specific item

Why detailed line items matter

Breaking your invoice into clear line items helps clients understand exactly what they're paying for. This reduces questions and disputes, makes your work look more professional, and gives clients confidence that your pricing is fair. Vague invoices with a single lump sum often lead to pushback or delayed payment.

Line item best practices

Keep descriptions clear and specific—"Kitchen faucet replacement, Moen Model 7594" is better than "Faucet work." Group related items logically. For labor, specify whether you're billing hourly or flat rate. If you're marking up materials, be consistent in how you present it. The goal is transparency: your client should be able to look at any line item and understand what it's for.
