Money returned to a client after an overpayment, cancellation, or dispute, reducing or eliminating an outstanding invoice balance.

What is a refund?

A refund is money returned to a client because of an overpayment, cancelled project, unsatisfactory work, or billing error. It reverses all or part of a payment that was already made. Refunds can be full or partial depending on what was agreed and what work was completed.

For contractors and service professionals, knowing when and how to issue a refund protects your reputation and keeps client relationships intact.

Common reasons to issue a refund

Refunds typically occur when a client overpays an invoice, a project is cancelled before completion, work does not meet the agreed scope, a billing error is discovered, or a deposit is returned after conditions are not met. Having a clear refund policy in your contracts reduces disputes before they start.

How to issue a refund professionally

Communicate the refund in writing and specify the amount and reason. Issue the refund through the same payment method used by the client where possible. Update your records to reflect the adjustment so your books stay accurate. If only part of the payment is being refunded, issue a credit note to document the difference.

Refund vs. credit note

A refund returns money directly to the client. A credit note is a document that reduces the amount owed on a current or future invoice without transferring money immediately. Credit notes are useful when the client plans to continue working with you and wants to apply the balance to a future job.

Protecting yourself with a refund policy

Include a refund policy in every client contract. State clearly what is refundable, the timeframe for requesting a refund, and how partial refunds are calculated for work already completed. A written policy reduces misunderstandings and gives you a clear basis for any dispute.
