Proposal

Proposal

A formal document presented to a potential client that outlines the scope of work, pricing, timeline, and terms before an agreement is signed.

What is a proposal?

A proposal is a formal document you send to a potential client before starting a project. It outlines what work you will do, how much it will cost, when it will be completed, and the terms under which you will do it. A proposal gives the client everything they need to make a decision and gives you a documented basis for the agreement.

Proposals are common for contractors, consultants, designers, and service professionals who need to clearly define scope and pricing before committing to a job.

Proposal vs. estimate vs. quote

An estimate is an informal approximation of cost. A quote is a fixed price commitment. A proposal is a more comprehensive document that includes the cost alongside the full scope of work, deliverables, timeline, and terms. Proposals are typically used for larger or more complex projects where the client needs more detail before approving the work.

What to include in a proposal

A strong proposal covers your business name and contact information, the client's name and project details, a clear description of the scope of work, itemized pricing, project timeline and milestones, payment terms and deposit requirements, any exclusions or assumptions, and a signature line or acceptance instructions. The more specific your proposal, the fewer disputes arise later.

How to write a winning proposal

Address the client's specific problem rather than describing your services generically. Be clear about what is included and what is not. Use plain language and avoid jargon. Break the pricing into line items so the client understands what they are paying for. State your payment terms clearly and include a deadline for acceptance to create urgency.

Converting a proposal to an invoice

Once a client approves your proposal, you can use it as the basis for your first invoice or deposit request. Keep the line items and descriptions consistent between your proposal and invoice to avoid confusion. Good invoicing software lets you convert an accepted proposal directly into an invoice without re-entering the details.
