Your first invoice does more than request payment. It sets the tone for the client relationship and creates the first official financial record of your work together. When it’s simple and professional, payment is usually straightforward. When it’s missing details or hard to follow, you end up answering questions, fixing errors, and waiting longer to get paid.

What Every Invoice Must Include

Every invoice should contain a few essential fields that make it professional, and easy for the client to process.

  • Your business name and contact details
    Include your name or business name, address, email, and phone number.

  • Invoice number
    Choose a numbering system and keep it consistent. You can start at 1001 or use a format like INV-2025-001.
  • Invoice date
    The date the invoice is issued.
  • Due date
    Clearly state when payment is expected, such as Net 14 for payment due 14 days after the invoice date.
  • Description of work or services
    Be specific. For example, write “Website homepage design, 8 hours” instead of “Design work.”
  • Rate and quantity
    Show your hourly rate and hours worked, or list a fixed project price.
  • Subtotal, tax, and total
    Break down charges clearly, including any applicable tax.
  • Payment instructions
    Include bank transfer details, a payment link, or the payment methods you accept.

Optional Details That Improve Your Invoice

These elements are not strictly required, but they will make your invoice look even better.

  • Your logo to make the invoice look more professional
  • Project or purchase order reference if the client manages multiple projects
  • Late payment terms such as “1.5% per month on overdue balances”
  • Notes section for a thank-you message or additional instructions

How to Number Your First Invoice

Your invoice numbers should be simple, consistent, and sequential. While some freelancers start with 001, many prefer starting at 1001 or using a format like INV-2025-001.

Once you choose a numbering system, stick to it. In many jurisdictions, sequential invoice numbers are required for accounting and tax purposes.

Choosing Payment Terms for a New Client

For a first-time client, shorter payment terms usually make sense. Net 7 or Net 14 helps you get paid faster while reducing risk.

Net 30 is common with larger companies, but it can be a long wait when you have no payment history with the client yet. It’s reasonable to agree to longer terms if required, just avoid making it the default.

How to Send the Invoice

Email is still the most common way to send an invoice. You can attach a PDF or send a link to an online invoice.
